Xero for Sole Traders: Is It Worth It?
Xero is one of the UK's most popular accounting tools - but is it right for sole traders? Here's a plain-English breakdown of the plans, what's included, and which one makes sense for you.

Xero review: is it right for your sole trader business?
Xero is one of the most widely used cloud accounting platforms in the UK, known for strong bank feed integration, a large ecosystem of third-party integrations, and a clean, well-regarded interface. It's a popular choice for sole traders who expect to grow, take on staff, or eventually incorporate as a limited company, since it scales smoothly from a single-person setup to something considerably bigger.
Here's an honest look at what it offers, what it costs, and whether it's the right fit for your situation.
What is Xero?
Xero is cloud accounting software built for businesses of all sizes, from sole traders through to larger companies. It handles invoicing, bank reconciliation, expense tracking and Making Tax Digital submissions, and connects to a wide range of other business tools through its app marketplace.
Xero restructured its UK plans in September 2024, retiring the old Starter, Standard and Premium names in favour of Simple, Ignite, Grow, Comprehensive and Ultimate. It has five tiers in total, though most sole traders will only need to look at the first two.
What are the pricing plans?
Xero is currently running a promotion of 90% off for the first 6 months on all plans, so Ignite works out at around £1.80/month to start before reverting to the standard £18/month. Worth checking the current offer on Xero's pricing page before you sign up, as promotional terms change.
Xero's plans are:
• Simple - £7/month. The entry-level option, capped at 10 invoices and quotes a month, aimed at non-VAT registered sole traders. Worth knowing about, but the cap means it only really works if your invoicing volume is low.
• Ignite - £18/month. The plan most sole traders actually need once they outgrow Simple - up to 20 invoices and quotes a month, 10 bills, full Making Tax Digital support including VAT returns, bank reconciliation, and everything you need to keep on top of your accounts day to day.
• Grow - £39/month. Adds multi-currency accounting, project tracking, and more detailed expense management. Worth considering if you invoice internationally or need to track project profitability, but likely more than most sole traders need.
• Comprehensive - £55/month. Includes payroll for up to 5 employees - more relevant once you start taking on staff.
• Ultimate - £70/month. Payroll for up to 10 employees. Probably more than you need as a sole trader.
For most sole traders, the real choice is between Simple and Ignite, and Ignite is the one that removes the limits that would otherwise get in the way.
Xero and Making Tax Digital
This is where Xero becomes particularly relevant for sole traders planning ahead. Making Tax Digital for Income Tax (MTD for IT) is being phased in from April 2026, starting with sole traders and landlords with gross income over £50,000. The threshold drops to £30,000 from April 2027, and £20,000 from April 2028.
Xero is HMRC-recognised for both MTD for VAT and MTD for Income Tax, with submissions made directly from the platform across its UK plans. If you're approaching the £50,000 threshold or want to get ahead of the changes, using MTD-compatible software now means you won't need to switch systems when the rules become mandatory for your income level. How does it handle Self Assessment?
Xero keeps your income and expenses organised throughout the year, which makes it far easier to complete your Self Assessment return when the time comes - either yourself or through an accountant. It doesn't submit your Self Assessment return directly to HMRC on your behalf, so you'll still need to file through HMRC's own portal or via an accountant, but it does the bulk of the organising work in the meantime.
Who is it best suited to?
Xero works well if you:
• Want strong bank feed integration with most UK banks
• Expect to grow, take on staff, or eventually incorporate as a limited company
• Use other business tools and want a wide choice of integrations
• Are preparing for Making Tax Digital and want an HMRC-recognised solution
• Don't mind paying more for a well-established platform with strong long-term product investment
It's less suitable if you:
• Just need straightforward sole trader accounting without the extras - a cheaper dedicated tool may suit you better
• Are on a tight budget, since Xero is pricier than tools built specifically for sole traders
• Want to avoid add-on costs, as payroll and some other features cost extra on top of the base plan
• Would be caught out by the entry-level Simple plan's invoice and bill limits without realising it
How does it compare to alternatives?
Xero's main competition among sole trader tools is dedicated, lower-cost software like Sage Sole Trader, which is built specifically for non-VAT registered sole traders and starts free. Xero costs more, but offers a broader feature set and a clearer path to scale if your business grows or you take on staff.
If you just need something simple for now, it's worth weighing up whether you'll actually use Xero's extra capability, or whether you're paying for headroom you won't need for a while.
