What is the Sole Trader Tax Tracker?
It’s a digital spreadsheet for UK sole traders who aren’t VAT registered, created by a qualified accountant and sold by Rootstock Planning. You record income, expenses and mileage as they happen, and it shows your estimated Income Tax and Class 4 National Insurance building up over the year. It works on the cash basis, in both Excel and Google Sheets, and the current version covers the 2025/26 tax year.
Is the Sole Trader Tax Tracker free?
No. It costs £21.99 as a one-off purchase, with no subscription and no free trial. It’s an instant download, and the instructions are inside the file.
Key features

Is the Sole Trader Tax Tracker MTD compatible?
No. It’s a spreadsheet for tracking your figures and preparing for Self Assessment, and it doesn’t submit anything to HMRC. It does include an MTD Checker that compares your self-employment income with the MTD thresholds and tells you whether, and when, Making Tax Digital for Income Tax applies to you. If it does, you’ll need HMRC-recognised software for your quarterly updates - see our MTD Software directory.
Pros and cons
Pros:
One-off cost with no subscription
Shows your estimated tax bill, and how much to set aside, as the year goes on
Figures laid out by SA103 box number, ready for your return
Mileage allowance and business-use splits worked out for you
Works in Excel or Google Sheets
MTD Checker included
Cons:
Doesn’t file anything with HMRC
Not MTD software - no quarterly updates
For non-VAT registered sole traders only
Manual entry, with no bank feeds or receipt capture
Covers one tax year - next year’s version is a separate purchase
Tax figures are estimates, so check rates at GOV.UK before you file
Who is the Sole Trader Tax Tracker best for?
The tracker suits non-VAT registered sole traders who are below the Making Tax Digital threshold, like working in a spreadsheet and want something ready-made instead of a blank sheet. It keeps your records in order, tells you how much to set aside and gives you the numbers for each box on your return. If MTD already applies to you, or you want bank feeds and invoicing, accounting software is the better fit.
